The user interface for the Discussion list object has been completely revised. The intention has been to create an interface that resembles modern web forums rather than email exchange, as it has until now. In the new interface, a discussion topic is the basic unit instead of an individual message.

Message sorting

The topics can be sorted by subject, sender, date or keyword.

Keywords can be added to discussion lists.

Default view

Each user can customise the discussion list views s/he uses as s/he wishes by clicking the "Set as default view" link. Therefore, the default view is no longer defined in the object settings but can be modified by each user in all discussion lists s/he's using.

Views can be limited by a time range (All, 100 days, 60 days, 30 days, 14 days, 7 days, 1 day) and by the following criteria:

  • Unread messages
  • All messages opened
  • All messages as a list
  • Important messages
  • Topics
  • Scheduled messages

Scheduled messages

The Scheduled messages functionality has been separated into a clear block of its own which makes viewing and managing of scheduled messages easy. You can create a scheduled message by navigating into the Scheduled messages view and by clicking the "New scheduled message" link. Messages that have been created and are waiting to be published, can be viewed by navigating into the Scheduled messages view.

Removed features

The following features have been removed from this object type: Commented messages, Readers and Mark as unread.

Test user access - viewing the workspace as a regular user

The long awaited functionality of testing the workspace via another user has been implemented as Optima now enables test user access. You must create the test user account separately. You can create the test user account for personal use or to be used by the whole organisation, for example.

The test users can be added to workspaces like any other user accounts. In the "Add user" view, the test users are listed at the top of the list and they can be identified by a default last name "(Test user)". The test user can be treated as any other user in user administration. The test user account can be granted account-specific rights or the accout can be added to workspace level groups, which means that the test user receives the access rights granted to this group for objects.

Once the test user has been added to a workspace, a "Switch user view" link appears in the top frame for the supervisor of the workspace everytime s/he enters the workspace. The "Switch user view" link automatically signs the supervisor in again and opens the workspace at hand. The workspace can now be used normally with the test user account to verify that all needed materials are visible and that the submission settings have been correctly set.

The supervisor of the workspace can easily return to his/her own view by clicking the "Back to my account" link which becomes available when switching to the test user view.

To add a test user to a workspace, go to Workspace tools > Members > Add members

Arranging materials in a workspace

All the materials in a workspace can now be arranged by using a drag n' drop style tool. Previously, only the contents of one folder or objects and folder of the main level in a workspace could be arranged in this way. Now it is possible to view the whole contents of a workspace at once and items can be moved easily.

The tool can be found in each workspace's own tools: Workspace tools > Materials > Reorder

New object: Competence inquiryCompetence inquiry

The Competence inquiry object is a tool that can be used to carry out an inquiry on competencies in organisations. The tool is first used to create the structure of the organisation. Then, using this structure, a representative (a manager) and members are chosen for each unit in the organisation.

Then the needed competencies and skills (questions) are defined in the tool. The competencies are linked to organisation units. This way members of the different organisation units automatically see the questions aimed at his/her unit when opening the Competence inquiry form.

Once the competency inquiry has been carried out in the organisation, (meaning, all users have evaluated their own competencies), the representatives of the units set target levels for the competencies. The representative (manager) goes through the Competence inquiry form with each user and sets appropriate target levels. The user's own assesment and the target level defined by the manager are saved to be evaluated later.

New inquiry rounds can be carried out later by using the Competence inquiry tool in order to follow up on the competencey development in the organisation.

Adding announcements on the login page (available for environments using their own login page)

It will be possible to add announcements to the organisation's own login page from inside the environment. The announcements are added in the same way that announcements inside the environment are created.

Note! This tool is available to those customers who have a customised login page of their own on the server and to those customers who have their own Optima server. Settings and views related to this tool are available only in those environments where the access is enabled. Environments that use the login page, do not have access to this tool.

Mobile interface for specified tools

It's now possible to use Optima via different mobile devices. The login page automatically recognises the device and offers the mobile interface.

The following tools and views are available through the mobile interface:

  • list of new objects
  • new messages in the environment
  • calendar items for the next 7 days
  • valid announcements

The following actions can be carried out via the mobile interface:

  • sending a message
  • creating a new announcement
  • creating a calendar item

Note! If you wish to familiarise yourself with the mobile interface but you don't have a suitable device, do the following:

  • Log into Optima normally

Better security level

Videonauhuri Light web-editor's new functionalities, Imagemap Editor is removed

  • New and previously created image maps are edited with the Light web-editor as Imagemap Editor is removed from Optima altogether. You can create a map of your image that is being modified by activating the image with a click and by choosing the imagemap imagempa icon.
  • You can bring an object from the left frame into the Light web-editor by dragging it. This automatically creates a link to the dragged object in your Light web-editor document.

Copy function

The 360 degree feedback object can be used to create inquiries on managers where both the manager and the employee evaluate the skills of the manager. Now it is possible to copy a 360 degree feedback object. You are able to create several copies of the object into which the target of evaluation is added automatically. In addition, it's now possible to add the name of the target into the object's name to make the objects more distinguishable. Once you've done this, you'll be able to utilize this set of questions in several manager evaluations.


In the statistics view of the object all report options are now available even when there's nothing to report. Some users have found it confusing that the options have not been available before any submissions have been made. If a user chooses a raport which cannot be created yet, a separate note will appear in the interface.

In addition, standard deviation has been added to the statistics of the object. Deviation information on the statistics page includes the lowest and the highest values of each item and standard deviation.

The possibility to answer a 360 degree feedback object without a user account

It is possible to allow answering of the 360 degree feedback object without a user account. When this functionality is enabled in the settings, the owner of the object may manually send a request to answer the inquiry directly from the object's options. S/he enters the email addresses of the desired answerers and composes a message. The message sent includes a link to the inquiry which the answerers can access without a user account.

Access: When the user's workspace profile is configured as follows: Workspace tools > Workspace level profiles > [Profile name] > 360 degree feedback available and the user has administrative access rights to the 360 degree feedback object.

New trash bin

Optima's Trash bin functionalities have been completely revised. In the new interface you can select the objects for deletion according to their time spent in the trash bin. When restoring objects, it is possible to filter them by who has deleted them or to search objects that are to be restored.

"Select all / Deselect all" - new interface

Many functionalities include the "Select all" and "Deselect all" options when selecting or deselecting different items (users, object, etc). The interface has been revised so that it's clearer to the user whether s/he's selecting or deselecting all items.
